Organising volunteers

Every sailing club across Australia relies on volunteers and the generous contribution of their time. The Humpybong Yacht Club shows how to organise their teams using the revSPORT system.

Having the right people, on the right tasks, on the right day is a big job even for small clubs. There are many online systems and spreadsheets used by clubs around Australia to organise their volunteers. Some clubs still use a white board. It is rumored that there is a fax machine still in play.

The Rostering feature in revSPORT is freely available as a basic function of the web and database system from Australian Sailing. The Humpybong Yacht Club in Woody Point, Queensland is a small volunteer run club who have taken advantage of the system and showcase its use.

Features of Rostering include:

  • Generate volunteer rosters based off ready-to-use templates
  • Build race official rosters according to your season and events
  • Allocate members to specific roles
  • Manage volunteer unavailability and potential conflicts
  • Produce comprehensive reports on volunteer utilisation
  • Track the time and hours put in by your volunteers.

Matthew Johnson is on the Humpybong Yacht Club’s committee and is their Discover Sailing Centre principal responsible for their training programs and instructors. Johnston first started using the Rostering feature to make sure they had their instructors in place for training sessions. What followed quickly was the realisation that the Rostering system could be used for organising their volunteers, and it proved to be an excellent and effective decision.

Johnston said “Users should get into it 100%. Set up takes time, getting volunteer types, names, and events in there. As a base system its pretty good.”

“It’s also really good to send emails to volunteers” Johnston added.

The Humpybong Yacht Club now use Rostering to organise all of their volunteers for every event.

Log in to your club’s revSPORT admin portal and click on   help in the top right hand corner to learn about Rostering. Video tutorials are also available.
